The surest way for an executive to kill himself is to refuse to learn how, and when, and to whom to delegate work. The inability to delegate task properly is the main reason that executives fail, But managers often mistake delegation for passing off work. So they do not do it and they wind up wasting their time as well as the company’s time and resources. Here are some tips to help you delegate task effectively so that your team shares the workload to make progress that benefits everyone.
Take a look at your workload
Analyze the workload of your task which you want to delegate it to your team. Calculate the time period and the modules which has to be completed before the deadline so that you will get to know that what and how much of task you have to assign to your team.
Determine where your contribution is needed
Successful entrepreneurs know their strengths & weaknesses. Perhaps you are a whiz at sales & marketing but are driven crazy by accounting. Why not delegate that and other areas of weakness who are better at it than you? The benefit will be your no. 1 job is to lead. By stepping back and letting others who are good than you at managing certain areas take some of the load, you are making your life easier and improving your business performance.
Explain why you are delegating
It really helps when you provide context for why you are giving someone a responsibility. When you select a person to delegate to, tell him why you chose him specifically and how you hope to see this help him grow. Help him see each delegated task as an opportunity to take on more responsibilities or grow new skills.
Provide the right instructions
Every good delegator provides some basic and important information without micro-managing. Tell someone about your goals or the milestones you hope to hit and let them tackle the problem in their own way. Do not look for perfection or micromanage; someone else might complete a task differently than you would. As long as you get the result you are looking for, that’s OK.
Focus on the teaching skills
Delegating does not mean that passing off work you don’t enjoy, but letting your employees stretch their skills and judgment. As you hand over greater responsibility, it’s important to understand that learning new skills sometimes includes making mistakes. So, do not punish employees who make a good-faith effort to do things right.
Check on progress
Let the employee do the work, but track work periodically on progress. Don’t look over employee’s shoulders or watch their every move. When you outline the expectations in the beginning, make sure you build in checkpoints for follow-up.
Say thank you
When someone completes your delegated task or project, show genuine appreciation and point out specific things they did right or well. When you make a note of those specifics, you are giving people a roadmap for what they should continue doing to be successful.
